Position Overview
We are seeking a highly organized, detail-oriented, and proactive Operations Coordinator to support our Home-Based Cardiac Rehabilitation Service. In this role, you will serve as a critical backbone for our day-to-day operations—managing essential patient data, coordinating with external practices and third-party vendors, and ensuring our administrative and billing workflows run smoothly.
Reporting directly to the Manager of Home-Based Cardiac Rehab Service, you will play a vital role in maintaining the high quality of our program and ensuring our partner physicians and practices have the data they need.
Key Responsibilities
  • Referral Management & EHR Navigation: Proactively track down and pull missing clinical documentation required for patient referrals across multiple EHR systems (NextGen, eClinicalWorks, and AthenaOne) to ensure seamless patient onboarding.
  • Data & KPI Reporting: Compile, analyze, and distribute routine Key Performance Indicators (KPIs) to participating medical practices, ensuring transparency and program alignment.
  • Vendor Data Oversight: Review, verify, and monitor program data provided by our third-party digital health/service vendor to ensure accuracy and quality control.
  • Financial & Invoice Administration: Prepare and manage monthly invoices, tracking program expenditures and utilization accurately.
  • Physician Compliance & Documentation: Assemble, organize, and distribute monthly DocuSign packets for collaborating physicians to review, sign off on, and track.
Qualifications & Skills
  • EHR Expertise (Required): Hands-on experience navigating and retrieving patient records from NextGen, eClinicalWorks (eCW), and AthenaOne.
  • Experience: 2–4 years of administrative, operational, or coordinator experience within a healthcare, clinical, or medical practice setting.
  • Technical Proficiency: Strong familiarity with electronic document management tools (specifically DocuSign) and data/spreadsheet tools (Excel, Google Sheets).
  • Attention to Detail: Exceptional organizational skills with a proven ability to catch missing data points, navigate diverse clinic software, and manage financial documentation (invoices).
  • Communication: Excellent written and verbal communication skills for professional outreach to external practices and physicians.
